How to make a PDF small enough to email

Shrink a heavy PDF so it fits in an email or an upload form, and keep it readable.

Why the email says "file too big"

Email services limit the total size of an attachment. Many providers stop somewhere around 20 to 25 MB, and a lot of upload portals, such as job sites, school forms and government services, allow far less, often only 1 to 5 MB. The exact number is always written next to the upload button or in the help page of the service, so check it first. Then you know how small the file really has to be.

What makes a PDF heavy

A PDF that contains only typed text is usually tiny, even with many pages. The weight almost always comes from pictures: photos pasted into a document, pages that were scanned with a phone or a scanner, and images saved at a very high resolution. That is good news, because pictures can be made lighter without touching the words.

How to compress it with Velfile

  1. Open Compress PDF and choose your file.
  2. Pick a mode. Keep text shrinks only the photos and scans, so you can still select and search the text. Smallest file turns every page into an image for the biggest saving.
  3. Pick a level: Light keeps the best quality, Balanced suits most files, and Maximum gives the smallest result.
  4. Press Compress PDF and download the new file. Your original stays untouched.

Everything happens in your browser, so the document is not uploaded to a server. That matters for contracts, payslips and ID scans.

Which mode should you start with

Start with Keep text and Balanced. If the file is a scan, the pages are pictures anyway, and you will see a good drop in size. If the result is still over the limit, try a stronger level, and only then move to Smallest file. Remember that Smallest file makes the text unsearchable, so do not use it when the receiver needs to copy or search the words.

If it is still too big

The tool handles up to 100 pages and 100 MB at a time. For a longer file, split it first, compress each part, and join them again with Merge PDF if you need a single file.

Check the result before you send

Open the compressed file and look at the pages that matter most: signatures, stamps, small print and numbers in tables. Zoom in to see if they are still clear. Also open it on your phone, because that is where many people will read it. If something is blurry, go back to the original and use a lighter level.

A few habits that help

Always keep the original file. Compress from the original each time instead of compressing an already compressed file, because quality is lost a little more with every round. Give the final file a clear name, such as your name and the document type, so the receiver can find it later.

A real example

Say a job portal accepts only 2 MB, and your application PDF is 14 MB because it contains three phone scans of certificates. Open Compress PDF, choose Keep text with Balanced, and check the new size. Scans often drop by more than half. If the file is now 3 MB, try the Maximum level once. If it is still over the limit, remove the pages you do not need, or reduce the photo size before you build the PDF again. Work in small steps and always compare the result with the original, so you stop as soon as the file fits.

Common mistakes

Questions people ask

Will the text stay sharp after compressing?
With Keep text, the text itself is not changed. Only photos and scans are made lighter. With Smallest file, pages become images, so very small print can look softer.

Is my PDF uploaded to a server?
No. The file is processed in your browser on your own device.

Can I compress a PDF with a password?
A locked PDF cannot be read by the tool. Remove the password first, if you are allowed to.

How many pages can I compress?
Up to 100 pages and 100 MB at a time. For a longer file, split it first.
