How to make a photo smaller for an online upload

Get a photo under the size limit of a form or upload page, and still have it look good.

Why the upload says the file is too big

Online forms for job applications, school registration, scholarships or government services often limit a photo to a few hundred kilobytes. A photo straight from a phone camera is usually several megabytes, so it is rejected. The exact limit is different on every form, so read the instructions on the upload page first and note the number.

A photo's file size depends on two things: how many pixels it has, and how strongly it is compressed. You can lower either one, or both. Doing them in the right order gives a smaller file that still looks sharp.

Step 1: reduce the pixels

A modern phone takes photos that are thousands of pixels wide. A form almost never needs that much. A photo that is 1000 to 1500 pixels on the longest side is plenty for a profile picture or an ID photo on a screen.

Open Resize Image, choose the photo, and keep Keep aspect ratio turned on so the picture does not get stretched. Type a smaller width, or tap a quick scale such as 50% or 25%. Fewer pixels means less data, so this step alone often shrinks the file a lot.

Step 2: crop to the right shape

Some forms ask for a specific shape, such as a square, or a 3:4 portrait photo like a passport-style picture. Cropping also removes parts you do not need, which makes the file smaller. Open Crop Image, pick a shape such as 1:1 or 3:4, then move and resize the box over the part you want to keep.

Crop first, then resize. If you resize first and crop later, you may end up with fewer pixels than you wanted.

Step 3: compress what is left

If the file is still above the limit, open Compress Image and lower the Quality slider. Around 70 to 80 percent usually looks very close to the original, while the file gets much smaller. The result updates right away, so you can see the new size before you download.

Go down in small steps. If the picture starts to look blocky around the face or the text, move the slider back up a little.

Pick the right format

When a PNG becomes a JPG, any transparent areas turn white, because JPG has no transparency.

A quick routine that works

  1. Check the size limit and the accepted formats on the upload page.
  2. Crop to the shape the form asks for.
  3. Resize so the longest side is about 1000 to 1500 pixels.
  4. Compress at 75 percent quality and look at the size shown.
  5. If it is still too big, lower the quality a little or resize smaller, and try again.
  6. Open the final file and check that the face and any text are still clear before you upload it.

Common problems

All of this happens in your browser. Your photo is processed on your own device and is not uploaded to a server, which matters when the picture is an ID photo or a personal document.
